How to Verify a Botanical Extract or Natural Oil Supplier

A practical checklist before you pay an advance or place a bulk order.

1. Check the business

Confirm company registration, GST number, address and how long they have operated. Registration and GST details can be checked on the official government portals.

2. Check licences and certificates

Ask for FSSAI licence details if the material is food grade, and for GMP, ISO or organic certificates where claimed. Ask for the certificate number, validity and scope, meaning which site and products it covers. A logo in a brochure is not proof.

3. Check the product documents

Ask for the specification sheet and a recent COA. Depending on the material, look for marker percentage, heavy metals, pesticide residues, microbial limits and solvent residues.

4. Test the sample

A COA is the supplier's own document unless it comes from an independent lab. For important orders, test a sample at an independent lab and compare it with the COA.

5. Check capability

Ask about capacity, batch consistency, and where the raw material comes from. A factory visit or a video audit helps.

6. Red flags

  • Reluctance to share a COA or certificate numbers
  • Pressure for full advance payment
  • Price far below the market
  • Vague answers about raw material origin
